Job Description:

The Administrative Assistant II in the College of Nursing provides administrative support to three Associate/Assistant Deans through conducting and organizing administrative duties and activities.

Job duties include:

  • Maintain calendars and schedule appointments for Associate Dean for Academic Excellence, Associate Dean of Research, and Assistant Dean of Students.
  • Coordinate compilation and analysis of data for various reports.
  • Collect faculty documentation and reports.
  • Assist with preparations for presentations, annual reports, and evaluations.
  • Assist with accreditation reports.
  • Track deadlines for reports.
  • Obtain data on a regular basis for evaluation, accreditation, and institutional effectiveness.
  • Maintain research files.
  • Take minutes for assigned meetings and distribute meeting agendas.
  • Assist as needed with new employee searches and maintain documentation for search files.
  • Coordinate college surveys.
  • Compile research data for various state and university reports.
  • Coordinate activities between the Associate Deans, Assistant Dean, and Dean's offices.
  • Coordinate travel arrangements and reservations for presentations, annual reports, and evaluations.
  • Prepare travel expense reimbursements.
  • Assist with confidential issues regarding faculty, staff, and students.
  • Assist the Dean's Executive Administrative Assistant with special projects and provide administrative assistance to the Dean in the absence of the Dean's Executive Administrative Assistant.
  • Manage scholarship database, assist the scholarship committee, and facilitate the process of selection and distribution of scholarships.
  • Other duties as assigned.

$36,841 to Negotiable

Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience.

Preferred Qualifications:

  • Bachelor's degree preferred and/or exceptional work experience/knowledge.
  • Strong computer skills with an emphasis on word processing, Excel spreadsheets, email, electronic calendars, and Adobe Acrobat document editing.
  • Professional, able to multitask, manage time well, act with initiative, and have good attention to detail.
  • Excellent written and verbal communication skills and be able to write and edit professional documents with excellent grammar, spelling, and punctuation.
  • Experience in generating reports for regulatory and/or accreditation agencies desirable.
