Job Description:

The Health Informatics Coordinator oversees the day to day supervision and management of the Health Information Management (HIM) department at Student Health Services. Participates in a decision-making capacity regarding development and implementation of department policies and procedures.

  • Responsible for the ongoing management of information security policies, procedures, and technical systems in order to maintain the confidentiality, integrity, and availability of all organizational healthcare information systems. (Acts as HIPAA/HITECH Security Officer internally.)
  • Responsible for implementing, managing, and enforcing information security directives as mandated by HIPAA/HITECH. Ensures the ongoing integration of information security with Student Health Services strategies and requirements.
  • Ensures the electronic health records meets and maintains "minimum necessary" access control, disaster recovery, business continuity, and incident response needs of the organization.
  • Performs ongoing information risk assessments and audits to ensure that information systems are adequately protected and meets HIPAA/HITECH certification requirements. Works effectively with the Health Informatics Manager (SHS HIPAA Privacy Officer), UCF IT, and other information security personnel.
  • Maintains current knowledge of applicable federal and state security laws and accreditation standards, and monitors advancements in information security technologies to ensure organizational adaptation and compliance. Observes HIPAA/HITECH guidelines and report all violations to the Health Informatics Manager (SHS HIPAA Privacy Officer).

Health Information Management responsibilities:

  • Monitors and reviews all data entry of assigned providers, in the electronic health record (EHR) for completion, by making sure all transcriptions are properly entered in system and signed, all labs, X-rays, and ultrasounds requested are received in a timely manner, reviewed, and signed.
  • Ensures when electronic system is down, that all medical records corresponding down time are received on paper, signed by corresponding physician, and scanned into the appropriate EHR account.
  • Follow up on all test results ordered by assigned SHS providers, when not present in EHR in a timely manner, contact the provider until the EHR is up to date.
  • Copy and release of medical records, of assigned accounts, in response to authorized released of PHI, or in response to subpoena. Update subpoena and release authorization log sheets.
  • Confirm all/any medical records produced on paper are signed, scanned, and filed in the appropriate charts or folders; maintain contents in proper order. Scan parental consent forms and flag the appropriate field in the EHR with the date of scanning ASAP.
  • Update students immunization records in People Soft and lift immunization holds accordingly. Help during high volume orientations only.
  • Assist in answering patient and students questions in person or by telephone.
  • Maintain stored charts and assists in purging the non-active charts per guidelines.
  • Responsible for hiring, supervision, training, coordination, management of work flow for full time & part time medical records specialists, and student program assistants of the HIM Department.
  • Monitor and reconcile all department release of information revenue to ensure all transactions are completed and closed in a timely manner.
  • Coordinate monthly department meetings and in-service training.
  • Supervise student interns.

Work Schedule:

Monday through Friday 8:30 am – 5:00 pm; occasional Saturday 9:30am – 2:30pm as needed.

$48,722 to Negotiable

Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience.

Preferred Qualifications:

  • Preference may be given to candidates that are Certified as a Registered Health Information Administrator (RHIA) or a Registered Health Information Technician (RHIT).
  • Preference may be given to candidates with management experience; including but not limited to: hires, trains, assigns work, manages & evaluates performance, conducts professional development plans. Ensures that the productivity and actions of that group meet/support the overall operational goals of the department as established by department leadership.
  • Preference may be given to candidates with expert knowledge of electronic health records and can maintain “minimum necessary” access control, disaster recovery, business continuity, and incident response needs of the organization.
  • Preference may be given to candidates that are intimately familiar with applicable federal and state regulations such as HIPAA, FERPA and the state of Florida Statutes, as well as AAAHC accreditation guidelines.
  • Preference may be given to candidates that have proficient knowledge of the requirements for the release of medical information.
  • Preference may be given to candidates that can maintain appropriate quality assurance reviews.
  • Preference may be given to candidates with 2-3 years of operational HIM experience.
  • Preference may be given to candidates with expertise in Health Information functions and operations.
  • Preference may be given to candidates with excellent verbal and written communication skills.
  • Preference may be given to candidates with professional demeanor.
  • Preference may be given to candidates that are resourceful, task oriented and willing to challenge the norm.
