Job Description:

  • Provide general office/administrative support to the SSS Program.
  • Maintains all administrative records (electronic and paper), archives record as needed; some of which may be confidential in nature.
  • Maintains all SSS participants' hard and electronic files (including Blumen); archives and maintains all historical data.
  • Scheduled appointments, room scheduling, and manages the calendar of the Program Manager as needed.
  • Prepares materials, office correspondence, other publications, and detailed reports.
  • Maintains departmental budgets, prepares financial records, and provides periodic reports.
  • Arranges staff and student travel; including processing travel documents, reimbursements, and travel related processes.
  • Makes routine purchases, processes payments in accordance with UCF Purchasing and Finance and Accounting guidelines and procedures.
  • Recruit, select, train, and supervise student assistants.
  • Maintains departmental property/inventory; manages surplus as needed.
  • Handles employment paperwork (including hiring packets) for all employment classes; maintains staff records (paper and electronic).
  • Handles submission of timesheets/LAPERS, processes payroll and payroll adjustments as needed. Runs various reports in PeopleSoft. Maintains eCRT records.
  • Point of contact for visitors and coordinate meetings and scheduling of events for the office, including campus tours as needed.
  • Other duties as assigned by the Program Manager

Work Schedule:

Monday to Friday, 8:00-5:00; Some nights and weekends.

Expected Salary:

$29,069 - Negotiable

Minimum Qualifications:

High School Diploma or equivalent and 0+ years of relevant experience.

Preferred Qualifications:

  • A high school diploma and five years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
  • Experience working in and/or managing a dynamic, small office.
  • Should be able to take initiative and have the ability to manage multiple priorities simultaneously.
  • Excellent computer skills; proficient with Microsoft Office and Excel.
  • Experience supervising support staff.
  • Experience with UCF budget management, purchasing, hiring and payroll procedures.
  • Excellent written, verbal skills and customer service skills and the ability to work with attention to details.
  • Ability to exercise tact, initiative, and to work under minimal supervision. Excellent verbal and written communication skills.
