Job Description:

This position provides support and assistance to the daily activities associated with the review, negotiation and execution of subaward agreements, that require advanced knowledge of University, sponsor, and Federal regulations and policy and the post-award non-financial administration and monitoring of subawards. The Subaward Specialist I will report to the Assistant Director for subawards or above.

Responsibilities for this position include:

  • Provide assistance with the preliminary review and drafting of outgoing subawards and subawards actions on sponsored program awards and contract awards to ensure compliance with applicable law, regulations, policies and procedures.

  • Assist in the collaboration of agreement reviews by other Office of Research components, other University units, and the Office of General Counsel as appropriate.

  • Assist in the facilitation and follow through of subawards, and changes/corrections to subaward documents, as appropriate.

  • Ensure subaward agreement terms are appropriate for University’s status as a public institution of higher education; ensure subaward terms and conditions align with University policies, statutory requirements, and federal and state regulations, as applicable.

  • Assist in the subaward process, ensuring consistency with prime award terms and conditions and university requirements; ensure that subawardees are qualified to receive University flow-through funds and that appropriate subaward monitoring measures are established for compliance with federal and University requirements.

  • Consult with the following UCF offices and staff regarding compliance approvals: Institutional Review Board; Institutional Animal Care and Use Committee; Environmental Health & Safety; Export Compliance; and Facility Security, as needed. May coordinate contract negotiations with UCF Research Foundation, as needed. Consult with Technology Transfer on intellectual property issues.

  • Manage the data entry of records in university electronic systems used for review and processing of outgoing subawards and related subaward activities/actions.

  • Other duties and special projects as assigned.

Monday - Friday; 8:00 AM to 5:00 PM. Schedule may vary as required.

Expected Salary:

$48,722

Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience.

Preferred Qualifications:

  • Experience in taking initiative, being diplomatic, pro-active, effectively manage stressful situations.

  • Experience in work that requires organization, time management, and is detail-oriented.

  • Experience in multi-tasking and meeting deadlines effectively.

  • Strong oral and written communication skills, strong analytical skills.

  • Proficient in Microsoft Office applications.

  • Demonstrated ability to participate as a member of a collaborative team.

  • Experience in sponsored research administration, contract/subaward management is a plus.

  • Experience in higher education.

  • Experience with Peoplesoft or Workday, eRA Systems (i.e. Huron Research Grants Suite).
