Job Description:

The Training Specialist II position serves as the integral resident expert of the Blackbaud CRM application (BBCRM) and primary point of contact for functional questions and training of the system and other Advancement applications such as Microsoft Teams, Microsoft Office, ServiceNow, Tableau, Financial Edge NXT, among others under the general supervision of the Sr. Application Specialist. This pivotal role also leads to overall change management with users as new tools and reports are identified, managed, and delivered by the ITS team.

The specialist will train and answer questions from Advancement employees about the technical use and the functional context for interacting with Blackbaud CRM, BBIS, Microsoft Teams, Microsoft Office, ServiceNow, Tableau, Financial Edge NXT, and other applications used at UCF Advancement.

Additional responsibilities for this position include:

  • Serve as the liaison between system and clients to understand business needs and gather requirements and to design and implement solutions through the BBCRM system while leading change management to realize the success of technologies through building strong and trusting relationships with fundraising partners and subject matter experts within Advancement Services.

  • In partnership with Subject Matter Experts, leads the development of documentation for Advancement applications, dashboards, reports, and system customization. Also manages the content in the Advancement and ITS Knowledge Bases.

  • Responsible for the creation, monitoring, and maintenance of BBCRM system workflows and business processes including Global Changes, Queues, Recognition Societies, Imports, Export Definitions, Queries, System Security Roles and permissions, Data Lists, Pages, Global Data Entry settings, Email Alerts, Reason Codes, and other general system settings and core system functions.

  • Support Blackbaud Internet Solutions (BBIS) application owner with configurations, such as Security Roles and Communications Preferences, to ensure continuity of business rules and functions between systems.

  • Organizes and develops courses and training materials including on-demand videos.

  • Remains current in the technologies utilized in the Advancement field and continuously improves expertise to be able to train effectively and with confidence. Also continuously assesses individual and organizational training needs to keep training materials updated and relevant.

  • Provides end-user application support and troubleshoots application issues reported by staff and coordinates with application vendors as needed to enter cases and troubleshoot.

  • Serves as the point person during User Acceptance Testing for application patches and upgrades by organizing and guiding the testing teams, creating testing scripts and gathering results, and ensuring all relevant areas and processes of the application are tested and pass validation.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience.

Preferred Qualifications:

  • Well-organized, thorough and accurate in planning, preparation, and processing of work-related materials and activities.

  • Ability to meet deadlines as established. Experience or familiarity with Blackbaud CRM application (BBCRM) products is preferred.

  • Proficiency to work independently with limited supervision.

  • Able to attend and conduct meetings on and off-campus, and make presentations before large and small groups
