Job Description:

Leads and coordinates the day-to-day functions of multiple roles and assignment areas, prioritizing activities. Primarily responsible for daily supervision of non-clinical, administrative team.

Works under the supervision of the Operations Director of UCF Health at UCF Health location(s) - Quadrangle or Gateway. This position may be moved at leadership's discretion within the College of Medicine to a commensurate level position as determined by the Vice President of Medical Affairs.

  • Effectively utilizes clinical knowledge and provides supervisory oversight and support to multiple roles within the assigned location including Medical Records Specialist, Medical Secretary II (Scheduling), Patient Accounts Specialist (Medication Authorization), and Clinic Receptionist.
  • Coordinates work schedules, coverage (to include call-outs), on-boarding, and daily troubleshooting of business related issues. Develops, directs and assigns float pool staff, assuring staff is adequately trained.
  • Oversees training of new staff and continuous training of existing staff. Ensures staff have proper understanding and follows established office policies and procedures.
  • Participates in various leadership team meetings, huddles, and quality improvement initiatives.
  • Approves time and leave requests for assigned employees. Verifies and signs off on hours worked by office staff within the specific pay period to ensure timely and accurate payroll.
  • Assists with recruitment, hiring, evaluation, and development, discipline of non-clinical, administrative staff.


Cross-trained in all non-clinical, administrative areas to provides personnel coverage, as needed, to include:

  • Accurately maintain and streamline patient medical records processing (scanning and requests from patients, providers, and outside entities).
  • Scheduling openings, confirmations, changes, or cancellations. Finds solutions to conflicts and adjusts schedules, as necessary, within the EMR (coordinating with physicians, staff, and other departments).
  • Maintains an accurate standby and reschedule request schedule; Monitors and tracks all patient no shows.
  • Provides information and assistance to internal and external customers, in person and by telephone, in a friendly and professional manner. Answers incoming phone calls and triage's appropriately.
  • Monitors patient accounts processes and primary clinical team efforts.
  • Other duties as assigned.



Hours of work:

8:00 AM-5:00 PM. Hours and location (Orlando - Main and Lake Nona) of work may flex based on scheduling and coverage needs. Regular and reliable attendance is expected.

Work Schedule:

Monday – Friday; Full-time, no weekends.

Minimum Qualifications:

High School Diploma or Equivalent and 6+ years of relevant experience or a Bachelor's degree and 2+ years of relevant experience.

Preferred Qualifications:

  • Previous experience in a fast-paced environment (clinic setting).
  • Ability to manage simultaneous tasks and meet deadlines.
  • Prior experience managing people and building teams.
  • Knowledge of management and electronic health record systems.
  • • Good writing, analytical, communication, and problem-solving skills.
