Classification Title: Manager, IT Vendor Management
The Opportunity:
The UCF IT Department within Facilities and Business Operations is seeking to hire a Manager, IT Contracts & Vendor Relations. This role is responsible for the strategic management and oversight of all Information Technology contracts and key vendor relationships for UCF IT. The position plays a critical role in minimizing risk, ensuring compliance, and maximizing the value of IT investments. Additionally, the manager leads efforts to drive efficiency through contract consolidation and rationalization initiatives.
Responsibilities:
Manage the full lifecycle of UCF IT contracts for software, hardware, and service agreements—from initial request and negotiation to renewal or termination.
Establish and maintain a centralized contract repository and tracking system to monitor key dates, terms, and compliance requirements.
Facilitate contract reviews and approvals by collaborating with UCF Legal Counsel, Procurement Services, Finance, and IT stakeholders to ensure compliance with university policies and state regulations.
Develop and maintain standardized processes to improve efficiency and consistency across all IT agreements.
Supervise and lead Technology Product Center staff, including materials handling, receiving, procurement, and license assignment related to technology products.
Lead and mentor student interns supporting IT contract and vendor management functions.
Serve as the primary strategic contact for critical IT vendors, fostering strong and professional working relationships.
Conduct regular Vendor Performance Reviews (VPRs) and maintain scorecards to evaluate vendor performance, service levels, and overall value delivery.
Ensure IT contract owners review and sign off on vendor performance prior to renewal decisions.
Act as the escalation point for significant vendor issues and disputes, resolving conflicts efficiently and equitably.
Monitor market trends and industry best practices in IT contract negotiation and vendor management to inform decision-making.
Track and report key performance indicators (KPIs) related to contract status, vendor performance, and cost savings achieved through negotiation or consolidation.
Proactively manage the contract renewal cycle, including budget forecasting, business needs assessment, and negotiation of favorable pricing and terms.
Identify and lead initiatives for contract consolidation and application rationalization to reduce redundancy and optimize IT spending.
Partner with budget owners to validate invoices, track spending, and ensure transparency of contract-related costs.
Support the development of long-term sourcing strategies that align IT contracts with UCF’s strategic technology roadmap.
Ensure all IT contracts comply with university, state, and federal regulations related to data security, accessibility (ADA), privacy (FERPA, HIPAA where applicable), and licensing terms.
Track and manage IT software and hardware license compliance, including leading internal audits and coordinating vendor audits to mitigate risks.
Perform other duties as assigned.
Minimum Qualifications:
Bachelor’s degree and 4+ years of relevant experience; or High School Diploma (or equivalent) and 8+ years of relevant work experience in lieu of degree or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
Demonstrated experience managing complex IT contracts and vendor relationships.
Strong understanding of contract terms, negotiation strategies, and compliance requirements.
Experience with contract management software (CMS) and IT asset management (ITAM) tools.
Master’s degree in Business, Technology, or a related field.
Prior experience in a higher education or public sector environment.
Proven success in contract consolidation, vendor performance measurement, and process optimization.
Knowledge of data security, accessibility, and privacy compliance standards (e.g., ADA, FERPA, HIPAA).
Professional certifications such as Certified Commercial Contract Manager (CCCM), Certified Professional in Supply Management (CPSM), or ITIL certification.
Excellent communication, collaboration, and organizational skills with the ability to work effectively across departments and with external partners.
Proficiency in Microsoft Office applications (Excel, Word, PowerPoint) and data management tools.

Special Instructions to the Applicants:
The anticipated salary range for this position is $75,809 to $90,000. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
Position requires a valid Class E driver’s license. This position may involve driving to various locations on and off campus to conduct University business.

This is an Auxiliary (AUX) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.
