Counseling and Psychological Services:
Counseling and Psychological Services (CAPS) is home to an interdisciplinary team of full-time psychologists, social workers, mental health counselors, treatment coordinators and support staff who are fully committed to the success and well-being of our students.
The Opportunity:
The University of Central Florida's Counseling and Psychological Services department is currently accepting applications for a Medical Secretary II. This position supports the administrative support functioning of the CAPS department. Reporting to the Administrative Assistant III, this role provides assistance to the Director, Associate, Assistant Director, Administrative Assistant III or appropriate higher-level administrator.
This position/classification is considered a critical/essential position under the university's designation of Counseling and Psychological Services (CAPS) as an essential responder/s to any emergency (unplanned event) or threat thereof which disrupt operations within the university.
Responsibilities:
Responsible for supporting and overseeing the daily workload of Medical Secretary I.
Process electronic client data.
Operate client scheduling system.
Assist with coverage of CAPS phone lines.
Assess nature of client calls to determine if immediate counselor assistance is needed.
Responsible for providing back up support to Senior Accountant in their absence and/or during heavy volume periods as it relates to appointment late fees, invoicing, resolving client’s issues and inquiries, and payment tracking.
Responsible for maintaining incoming client paperwork, which includes receiving, scanning, and archiving all clinical documents sent to CAPS and coordinating the receipt of appropriate documents to staff members.
Responsible to Administrative Assistant III for collaboration on interviewing and hiring support staff personnel, which includes onboarding and training of new staff, maintaining and updating Office Support Policies and Procedures Manual, conducting phone interviews.
Minimum Qualifications:
High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
Basic understanding of HIPAA guidelines and patient confidentiality principles.
Experience working in a healthcare, clinic, or university office environment.
Familiarity with administrative support in a health setting, including managing patient records and using electronic systems to schedule appointments.
Experience handling a high volume of phone calls while managing front desk duties in a fast-paced environment.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Adobe, and email/calendar tools.
Experience processing payments or handling financial transactions in a clinic or office setting.
