The University of Central Florida (UCF) College of Health Professions and Sciences (CHPS) is home to nationally recognized programs focused on health and wellness ― and a respected faculty dedicated to teaching innovations and research partnerships. The college offers accredited programs in athletic training, communication sciences and disorders, physical therapy, and social work. CHPS also offers one of UCF’s largest majors, health sciences, as well as popular programs in sport and exercise science within the field of kinesiology. The Opportunity:
The CHPS School of Communication Sciences and Disorders (CSD) is seeking qualified candidates for an Administrative Assistant I position. The Administrative Assistant will provide administrative support to the School of Communication Sciences and Disorders, the School Director, faculty, and staff. This position will receive, screen, and direct incoming calls, visitors, mail, and e-mail. The position will prepare and maintain school files and records according to established guidelines. The Administrative Assistant will support the academic program with course scheduling assistance and inventory management.
Responsibilities:
External and Internal Relations:
Greet visitors and direct visitors to the proper locations and appointments. Handle inbound calls and direct callers to appropriate individuals. Respond to inquiries regarding schedules/agendas, room and/or meeting coordination, academic programs, advising, and clinic information.
Maintain relationships with external constituents (i.e., interviewees, vendors). Contribute to the planning of conferences and/or meetings.
Support school monthly meetings, submit calendar invitations, and set Zoom/Teams meeting links.
Assist with school and clinic events: reserve venues, order catering services, etc.
Office Administration:
Order office supplies and maintain inventory.
Receive, sort, and distribute all incoming and outgoing mail.
Process print shop orders, copy codes, and copier monthly meter reader reports. Ensure office machines (e.g., phones, printers, copiers, and fax) are in working order and may perform routine troubleshooting, as needed.
Assist with oversight of general day-to-day office operations. Open and close Communication Disorders Suite daily (HS II-Suite 101: Monday through Friday, 8:00 am to 5:00 pm).
Coordinates meeting spaces and arrangements.
Maintain property check-in/out logs, assist with property search and tagging, and process all department work orders for IT and facilities.
Ensure office machines (e.g., phones, printers, copiers, and fax) are in working order and may perform routine troubleshooting, as needed.
Assist with oversight of general day-to-day office operations. Open and close Communication Disorders Suite daily (HS II-Suite 101: Monday through Friday, 8:00 am to 5:00 pm).
Academic Scheduling:
Assist with preparation of CSD course schedules every semester. Meet with the Administrative team to develop schedules, submit requested changes via the centralized scheduling system, and communicate changes with the Admin team.
Manage communication and notifications with the UCF Registrar office, and related centralized scheduling personnel to ensure scheduling changes are processed, and current schedules are accurate.
Serve as liaison for capital equipment inventory and tagging reviews and audits. and related centralized scheduling personnel to scheduling changes are processed, and current schedules are accurate.
Minimum Qualifications:
High School Diploma or Equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications:
Bachelor's Diploma.
1 year of relevant administrative experience.
Experience working in Higher Education (1+ year).
Proficiency with Microsoft software products (Word, Excel, PowerPoint).
Experience using Workday.
The most successful candidates may possess the following qualities:
Fast learner with computer software systems.
Experience with scheduling.
