The Opportunity:

The College of Nursing, at the Dr. Phillips Nursing Pavilion on UCF’s Academic Health Sciences Campus in Lake Nona, is hiring for an Administrative Assistant II. The Administrative Assistant II will provide high-level administrative and operational support to the Assistant Dean of Clinical Affairs and the Assistant Dean of Students.

Responsibilities:

  • Assist the Assistant Dean of Clinical Affairs with monitoring clinical compliance and communication with students and faculty.

  • Provides administrative support to the Assistant Dean of Clinical Affairs by assisting with the accreditation processes and contributing to the development and maintenance of clinical components in student handbooks.

  • Reviews and verifies student and faculty clinical compliance documentation and maintain compliance records to ensure documentation meets institutional and clinical standards.

  • Support the Student Scholarships and Awards Committee by managing the scholarship database, award forms, and award letters.

  • Take minutes and assist the faculty scholarship committee.

  • Assist with the selection and distribution of scholarships.

  • Support the Admission, Progression, and Graduation (APG) Committee by managing the student petition database.

  • Take minutes and assist the faculty APG committee.

  • Assist with the student intent to graduate review process by checking for RN licenses, creating credit by exam letters, and reviewing degree audits.

  • Assist the Assistant Dean of Students in managing student educational verification forms by making fillable PDFs, communicating with alumni, coordinating with the Registrar's Office, tracking and mailing out documents.

  • Assist with student/alumni evaluation data by pulling data reports, compiling data, and sending out follow up communication.

  • Site administrator of the Lake Nona College of Nursing Knights Pantry location which includes stocking donated pantry items, creating marketing materials, and tracking all donations and distributions.

  • Provide backup to the Student Services reception desk as needed.

Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6)

Preferred Qualifications:

  • Demonstrated administrative experience within a Higher Education environment, supporting office operations.

  • Experience coordinating projects and tasks, including tracking progress, managing timelines, and communicating with multiple stakeholders to ensure completion.

  • Experience managing clinical compliance, credentialing, or on-boarding for healthcare students or professionals.

  • Previous customer service experience, with the ability to interact professionally and provide courteous responses to inquiries from partners and external stakeholders.

  • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) for data management, reporting, and correspondence.

The most successful candidates may possess the following qualities:

  • Ability to manage multiple responsibilities, prioritize tasks effectively, and maintain accuracy in a fast-paced environment.

  • Demonstrated ability to build and maintain positive relationships with faculty, staff, students, vendors, and external community partners.

Special Instructions to the Applicants:

  • The anticipated hourly rate for a well-qualified candidate is between $17.64 - $21.61. The final hourly rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
