The Opportunity:
The administrative assistant will support the Executive Director's Office, Director of Marketing and Communications' Office, and Associate Director for Applied Research Growth's Office. They will ensure that the work of these different offices runs smoothly by assisting with local administrative and operation support processes for the institute.
Responsibilities:
Coordinate with the Executive Assistant for the Executive Director (ED) to ensure ED office has continuous support during business hours.
Support Director of Marketing and Communications (DMC) Office with planning and coordination of events and conferences.
Coordinate initial travel arrangements for the offices of the DMC and Associate Director (AD) of Applied Research Growth and update as necessary.
May oversee the daily operations of the AD of the Applied Research Growth; provide direction to others while the AD is traveling or out of the office at meetings, etc.
Serve as the unit point of contact for coordinating campus visits, demos and tours for the Institute.
Initiate purchase requisitions, process vendor paperwork, and collect paperwork for payment of invoices for institute's leadership in conjunction with the finance business center.
Entrusted with personal, confidential, and sensitive information from and to ED, DMC, and AD of Applied Research Growth, their staff, university personnel, and industry executives and federal/state/local government representatives. Exercises confidentiality, tact, and diplomacy.
Other duties as assigned.
Minimum Qualifications:
High School Diploma or Equivalent and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.
Preferred Qualifications:
Manages administrative activities for large unit
Works independently with limited supervision.
Strong interpersonal and organizational skills.
Excellent written and verbal communication skills.
Computer competency in Microsoft 365 applications.
