Student Success and Well-Being – First Year Experience: 

First Year Experience at the University of Central Florida is a critical unit to the success of new students and families at UCF. We provide a strong foundation for new students and their supporters to establish their unique pathways to student success and aim to lead the way in providing world-class onboarding experiences that build a culture of community, discovery, and innovation to enhance / maximize student success and well-being. Situated within Student Success and Well-Being (SSWB), FYE oversees new student orientation for both FTIC (first time in college) and transfer students in addition to the Pegasus Parent Program, which includes Family Weekend.

The Opportunity:

UCF’s Student Success and Well-Being First Year Experience (FYE) department is currently accepting applications for an Administrative Coordinator II. This role will provide administrative support and assistance to First Year Experience by managing and maintaining all administrative aspects of FYE operations. Administrative Coordinator II manages all aspects of the student and family-facing customer service experience via supervision of the student staff, management of the external communication plans, and administrative tasks such as personnel, human resources, budget support, and other administrative tasks, as necessary.

This position may be moved at managements discretion within the SSWB division to a commensurate level position as determined by the Sr. Vice President of Student Success and Well Being or their designee.

Responsibilities:

  • Supervises 10-15 student employees who provide front-line support to students and families via email, phone, and in-person visits. Provide supervision, training, and support for their operational excellence.

  • Oversees the external experience for students and families by monitoring and managing phone calls, FYE and Parent inbox emails, and in-person visitors, responding to inquiries and providing proactive communication when possible.

  • Responsible for the daily management of the Orientation reservation system, including seat capacity management, session setups, task list items, communication campaigns, etc.

  • In collaboration with Associate Director, develops, maintains, and manages outreach campaigns, including but not limited to, direct communication via email, VZ messages, text messages, etc.

  • Provides administrative oversight for general day-to-day office operations, including ordering and maintaining office supplies, managing technology inventory, property custodian, etc.

  • Provides administrative oversight for UCF, SSWB, FYE, and other procedures and processes, including but not limited to human resources (hiring, personnel actions, etc.), budget tracking, payroll, tracking and maintaining personnel files, and other standard operating procedures.

  • Assists with coordinating and reserving meeting spaces and arrangements for FYE meetings and events, as appropriate and in coordination with other FYE staff.

  • Supports and participates in other FYE, SSWB, and UCF initiatives, committees, and working groups.

  • Other duties as assigned.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Bachelor's degree is highly desirable.

  • A minimum of 2 years of experience in higher education is preferred.

  • Proven ability to reconcile financial data using Excel.

  • Advanced proficiency in Microsoft Office Suite.
