The Opportunity:
The Administrative Coordinator II directly assists the Director of NanoScience Technology Center (NSTC, faculty members and students. This position coordinates general administrative functions for NSTC including organizing and maintaining information, project & event assistances, managing budgetary expenditures and assisting with all matters involving NSTC Graduate Programs (MS in Nanotechnology) activities & recruitment.
Responsibilities:
Coordinates and assists with all matters involving the Director's activities, requiring regular interactions with all levels of administration and NSTC visitors. Coordinates administrative activities between the Director and his direct reports. (10%)
Organizes NSTC events (Open Houses, Seminars, Conferences, Meetings, On-Campus interviews etc.) and NSTC Graduate Program recruitment events. Coordinates and participates in orientation sessions for new Graduate Programs students. (20%)
Coordinates with the College of Graduate Studies the scheduling of MS program courses and catalog updates. Gathers and compiles data for administrative reports, maintaining student records and databases, tracking student progress, and advising students on graduation requirements. Coordinates and prepares NSTC's Graduate Research Assistant Agreements reports for GRA agreements. Assists students with completing and submitting necessary forms. Works with the Director and MS Program Coordinator to gather and assemble assessment data for academic and administrative reports. (20%)
Assists in developing expenditure reports, purchase requests, inventory reports, project budgets and procuring items for NSTC events. Assists with miscellaneous financial tasks, including depositing checks, submitting requisitions and event expenditures for NSTC. Assists NSTC Director with annual assessment, annual faculty assignments and faculty annual reports. (20%)
Assisting with faculty travel arrangements and NSTC Travel Awards. Assists NSTC faculty with stipends payments (REU, PREM, etc.). (10%)
Coordinates the development of marketing materials for NSTC and MS program. Compiles input from faculty, students and staff for publication in NSTC newsletter. (10%)
Maintains database of current and graduated NSTC students, post doctoral scholars, and researchers. (5%)
Other duties as assigned. (5%)
Minimum Qualifications:
Bachelor's or Master's degree and 2+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.

Thorough knowledge of administrative practices and principles.
Exceptional effectiveness in the use of computers.
Organizational and time management skills.
Effective verbal and communication abilities.
Customer service, and interpersonal skills.
