University Events & Engagement:

University Events and Engagement is responsible for crafting high-profile memorable experiences that celebrate the accomplishments of UCF students, faculty and staff while also supporting key university events that engage external constituents and partners. The execution and planning of these signature programs and activities are completed with a focus on excellence and a mission to advance the strategic vision of the president and institution. 

The Opportunity:

The Events Manager II is responsible for providing leadership, strategic planning, and execution for a wide range of university events. This role requires a high level of creativity, resourcefulness, and the ability to collaborate effectively with internal and external stakeholders. The Events Manager II promotes the University to internal and external audiences, markets the University's services, engages the local community in University activities while involving the organization and implementation of various social, cultural, and educational programs, and events for students and the facilities used to accommodate such events.

Responsibilities:

Event Planning and Execution:

  • Lead collaboration with cross-functional teams, including internal departments and external vendors, to plan and execute successful meetings, conferences, and special events.

  • Develop comprehensive event plans, including room layouts, audiovisual setups, and multimedia elements, to meet event objectives and attendee expectations.

  • Review and approve event-related communication materials, ensuring consistency with brand standards and event messaging.

  • Produce and direct live events, including webinars and presentations, to engage audiences and deliver impactful experiences.

Event Logistics:

  • Identify and secure appropriate venues for events, considering factors such as capacity, accessibility, and cost.

  • Negotiate contracts with vendors, ensuring favorable terms and conditions for the university or functional unit.

  • Develop detailed event specifications to guide vendor activities and ensure quality standards are met.

  • Delegate event responsibilities while providing guidance and support throughout the planning and execution process.

Financial Management:

  • Develop, manage, and track event budgets, ensuring adherence to financial guidelines and reporting requirements.

  • Create and process event invoices, ensuring accurate billing and timely payments.

  • Maintain an inventory catalog of event equipment, tracking usage and coordinating maintenance.

  • Handle attendee registration, including solicitation, tracking, and data management.

Event Administration:

  • Oversee the implementation of event policies and procedures, ensuring compliance with university guidelines and regulations.

  • Interpret and ensure compliance with relevant laws and regulations, including state and federal tax mandates.

  • Maintain accurate and organized event records, including financial data and documentation.

Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).   

Preferred Qualifications:

  • Proven track record of managing multiple projects and organizing all aspects of successful events, including virtual and hybrid programs.

  • Proven history of leading teams and executing events while collaborating with cross-functional teams.

  • Demonstrated history of event management, and budget management.

The most successful candidates may possess the following qualities:

  • Ability to identify potential legal liabilities and taking proactive measures to mitigate them.

  • Strong working knowledge of Microsoft Excel for data analysis and reporting.

  • A high level of creativity, the ability to make dynamic decisions, and a resourceful approach to problem-solving.

  • Excellent networking and customer service skills to foster strong relationships with internal and external stakeholders.

Special Instructions to the Applicants:

This role will be part-time .75 FTE with a tentative end date of May 31, 2025.
