The Opportunity

UCF Advancement is seeking well qualified applicants for an Executive Assistant I to the Assistant Vice President of Development- Colleges and Programs. The Executive Assistant I provides high-level administrative support to development officers and senior leaders within the Advancement & Partnerships division. This role supports day-to-day operations, coordinates logistics, maintains complex schedules, and ensures smooth execution of strategic projects and donor-facing activities.

Responsibilities:

  • Manage calendars (including appointment setting), coordinate meetings, secure conference rooms, and provide presentation support.

  • Arrange detailed travel logistics, including itineraries, while serving as the primary contact for travel needs and coordination.

  • Support donor discovery and stewardship efforts by scheduling outreach and maintaining accurate travel records.

  • Process expense reports, reconcile monthly credit card statements, and manage payment requests and reimbursements.

  • Prepare accurate reports, memos, meeting minutes, donor communications, and proposals.

  • Utilize database systems for donor research, event tracking, and reporting purposes.

  • Maintain departmental budget records and assist with budget reconciliation.

  • Perform administrative functions such as document scanning, data entry, file management, and front desk support as needed.

  • Serve as a key partner in delivering a professional and efficient experience for donors, visitors, and internal stakeholders.

  • Perform other duties as assigned in support of Advancement goals and priorities.

Minimum Qualifications

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • 2+ years’ experience as an administrative assistant, administrative coordinator, office manager, executive assistant, or similar role.

  • Experience providing administrative or executive support in higher education, nonprofit, or fundraising environments.

  • Strong organizational and project coordination skills with attention to detail.

  • Familiarity with financial systems and procedures such as expense reconciliation and travel reimbursements.

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and ability to learn new technologies quickly.

  • Excellent communication and interpersonal skills with the ability to maintain discretion and confidentiality.

  • Experience using database and CRM systems for recordkeeping, event tracking, or contact management.

  • Proven ability to manage competing priorities while providing a high level of customer service.

Special Instructions to the Applicants:

The anticipated salary for a well-qualified candidate is between $48,722 - $59,684. Advancement and Partnerships values the unique contributions that each team member brings to our division. The determination of a successful candidate's starting salary will vary based on several factors, including education and relevant experience. The anticipated pay scale indicated for this position generally applies to candidates who meet the minimum requirements and several of the preferred qualifications outlined above.
