The Opportunity:
The Facilities and Business Operations department is seeking a Program Support Specialist to oversee the Learning by Leading (LxL) Communications Teams. Communication areas of support include Website & Microsoft Teams management, Arboretum email management, event management support, education and outreach support, and fundraising event coordination and logistical support. This position also manages the apiary on campus, overseeing the honeybee hives and necessary equipment, and harvest honey annually.
Responsibilities:
Provide support with special projects and event logistics. Examples include supporting internal team communications for planning large events, and posting announcements on Microsoft Teams for general team communications, updating ongoing metrics data for reporting, organizing donor thank you cards.
Provide oversight for the "Website and Microsoft Teams Management" interns. This team is responsible for PowerApps research and development, website updates, and increasing overall communications internally and with our external customers.
Provide support for the LxL Leadership Students by assisting with posting their team events and volunteer shifts on KnightConnect; connecting them via email with the UCF and surrounding community in their team areas; sharing job information; and posting their team announcements on Microsoft Teams to promote strong internal communications.
Manages the Arboretum’s Institutional Email, including responding to general inquiries, directing engagement opportunities to the correct people, and positively interacting with the public.
Welcome visitors into our office lobby and directing them to available resources and information about the program; include providing information about parking, hiking trails, and general program information and opportunities to engage with the department. Additionally, this includes redirecting injured wildlife requests like bats, squirrels, and birds to the proper wildlife resources.
Beekeeping and apiary management. This includes organizing and conducting hive inspections with student support, planning maintenance, cleaning equipment, understanding bee behavior and ecology, and facilitating honey harvest and bottling annually.
Minimum Qualifications:
High School Diploma or Equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6). Click here for more information.
Preferred Qualifications:
At least 2 years of experience in administrative support roles, preferably in a university setting.
Prior experience in a customer service-oriented role with the ability to correspond professionally to inquiries.
Excellent organization skills with previous experience scheduling, planning, and hosting events.
Proficiency with standard office support software including Microsoft Office with expertise in Teams.
Experience partnering with colleagues and other departments creating a positive team dynamic and achieving departmental goals.
Capable of working with students and interns in a mentorship capacity.
Excellent communication skills, both verbal and written, with the ability to interact effectively with visitors and team members.
Ability to work independently and collaboratively within a team environment.
Experience with beekeeping and apiary management.
