The Opportunity:
This position plays a pivotal role in supporting the Office of Research division of Research Administration by managing a variety of administrative projects supporting Pre-Award, Contracts, Post Award Management, Grant Accounting, and the Research Foundation.
This position will report directly to the Assistant Vice President of Research Administration. The Administrative Project Manager II uses project management skills, attention to detail, the ability to work independently and collaboratively, and oversees day to day services, monitor the status of projects, and programs status reports to the AVP and VP of Research as requested.
Responsibilities:
Responsible for coordinating and managing multiple administrative projects from initiation to completion, ensuring timely delivery and adherence to quality standards, and develops procedures to effectively administer such projects.
Responsible for interpreting research policies and procedures. Leverages technology to develop reports that assist in monitoring policies and ensure efficiency of services.
Determines the scope and specification of the support service functions and projects and develops timelines and deliverables, in collaboration with the AVP and other stakeholders. Monitors project progress, identifies risks, and assists in implementing mitigation strategies.
Assists in performing financial analyses to determine costs and budgets of special projects. Performs staffing analyses to determine personnel needed for projects, prepares schedule of work efforts, track hours worked, escalates issues or critical deadline obstacles.
Provides statistical, analytic, and reporting support of institutional and research data for the AVP and transforms big data into relevant, accurate, and actionable information and reports.
Research and prepares presentation materials to effectively communicate to a professional or lay audience.
Coordinates and submits the annual institutional effectiveness report for the office of research.
Responsible for developing and maintaining up to date organizational charts for Research Administration and each separate unit (Pre Award, Contracts, Subawards, Post Award, and Grant Accounting).
Assists with updating and maintain website content related to Research Administration. Collaborates with directors to ensure the information is accurate and up to date. Creates and distributes internal and external communication materials as needed.
Responsible for Coordinating bi-annual board meetings to include distribution of board materials in advance of meetings and maintaining the documents in OnBoard. Managing the annual board member COI disclosures. Liaising with UCF DSO Governance office and maintaining up to date corporation documents (board assignments, bylaws, corporation policies, etc.).
Other Duties as assigned.
Minimum Qualifications:
Bachelor's or Master's degree and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.
Preferred Qualifications:
5+ years of experience in project management, preferably in a research setting.
Proficient in research administration and familiarity with pre-award, contracts, post-award management, grant accounting, and/or research foundation processes.
Experience collecting, analyzing, and interpreting data to identify trends and insights.
Skilled in coordinating and submitting institutional reports.
Adept at creating and distributing internal and external communication materials.
Experience in coordinating and scheduling meetings, events, and project timelines.
Proficiency in developing, implementing, and maintaining SOPs.
Keen eye for detail, ensuring accuracy and reliability of findings.
Exceptional written and verbal communication skills.

Hybrid work schedule or remote work within the state of Florida may be considered based upon specific circumstances and candidate qualifications.
The anticipated salary range for this position is $64,518- $80,648. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
