The Opportunity:
The Department of Utilities and Engineering Services within Facilities and Business Operations is seeking to hire an Asset Specialist I. This role is responsible for supporting the university’s asset management operations. This position assists with data entry and asset tracking within the Integrated Work Management System (IWMS) under the guidance of senior asset management staff. The role ensures accurate asset records, inventory validation, and proper tagging to maintain compliance and operational efficiency.
Responsibilities:
Perform privilege-appropriate data entry in IWMS as directed by Asset Management staff (Specialist II or higher).
Assist with inventory, validation, and tagging of assets under supervision.
Update asset records with validated details such as manufacturer plate information, model and serial numbers, parts/PM materials, images, manuals, and specification sheets.
Upload parent/child asset hierarchy into the Master Asset Profile module.
Enter asset parts lists using O&M manuals or by collecting data during site visits.
Upload asset attribute information and warranty documents into designated IWMS modules.
Print and affix asset labels, ensuring accuracy of asset information and location.
Support PM Management tasks, including minor updates to PM templates, standards, and materials.
Minimum Qualifications:
High School Diploma or Equivalent and 4+ years of relevant experience or a Bachelor's degree and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
Associate degree or coursework in Facilities Management, Business Administration, Information Systems, or related field.
Experience working with Integrated Work Management Systems (IWMS) or similar asset management platforms.
Familiarity with preventive maintenance (PM) standards, templates, and materials management.
Knowledge of asset hierarchy structures, warranty documentation, and O&M manuals.
Strong technical aptitude for interpreting manufacturer specifications and asset documentation.
Proficiency in data entry and accuracy verification for large datasets.
Ability to perform basic troubleshooting and updates within asset management systems.
Previous experience in inventory control, asset tagging, or equipment validation.
Strong organizational skills and attention to detail in a fast-paced environment.
Effective communication skills for collaborating with asset management teams and other stakeholders.
Special Instructions to the Applicants:
The anticipated hourly range for this position is $17.64 to $21.61. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
Position requires a valid Class E driver’s license. The position may involve driving to various locations on and off campus to conduct University business.
