The Office of the Provost and Academic Affairs provides oversight to UCF's academic enterprise, including the university's 12 colleges and academic administrative units. The office works with academic leaders, faculty, staff, students and advisors across UCF’s colleges and multiple campuses to ensure excellence and drive world-class teaching and research.
The Opportunity:
The Executive Assistant II is a highly visible role representing the Office of the Provost and Academic Affairs and serving as the first face of contact for the Vice Provost for Integrated Academic Planning and Chief of Operations for Academic Affairs, Chief Analytics Officer, Vice Provost for Faculty Excellence and Associate Provost for Contract Compliance and Administrator Support. The role enhances operational efficiency, supports complex priority management, and enables academic leadership to focus on institutional goals and executive decision-making. A high level of integrity, discretion, and confidentiality is essential. The ideal candidate will bring substantial executive‑level administrative experience, exercise exemplary judgment, and excel at managing complex and competing priorities with professionalism and discretion. They will proactively anticipate the needs of senior leadership to ensure seamless support and operational readiness. Experience within UCF or a large higher education institution is highly valued.
Responsibilities:
Manages complex calendars for the Vice Provost for Integrated Academic Planning and Chief of Operations for Academic Affairs, Chief Analytics Officer, Vice Provost for Faculty Excellence and Associate Provost for Contract Compliance and Administrator Support. Serves as a highly visible point of contact for administrative support needs for academic leadership.
Coordinates the organization of meeting materials, projects, etc. in support of leadership needs. Ensures leadership is prepared for meetings and engagements.
Works with Office of the Provost and Academic Affairs staff to accomplish department and leadership needs, including event management, project support, operations and special projects.
Serves as secondary support for calendar and administrative functions for the Provost and Executive Vice President for Academic Affairs, including meeting coordination, operational tasks and supporting the management of special projects and processes, while working independently with limited supervision.
Ensures the adherence of university policies and regulations governing administrative business processes.
Perform other duties as assigned as assigned by the Vice Provost for Integrated Academic Planning and Chief of Operations for Academic Affairs, Chief Analytics Officer, Vice Provost for Faculty Excellence or Associate Provost for Contract Compliance and Administrator Support.
Minimum Qualifications:
Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
4+ years of experience providing executive-level administrative support to executive leadership (C-suite leadership).
Familiarity with managing complex calendars, travel arrangements, and correspondence for executives.
Excellent time management skills, with the ability to prioritize tasks in a fast-paced environment with competing deadlines.
Understanding of UCF organizational structures, processes, and policies, with a preference for internal candidates or prior workers.
Strong written, oral, and interpersonal communication skills, with extensive experience interacting with staff and leadership at all levels of an organization.
Experience working in higher education.
Experience serving as primary point of contact for executives, screening and prioritizing communications.
Experience with Workday or similar ERP systems.
Experience handling confidential information with discretion and professionalism.
