The Opportunity:

The Student Health Services (SHS) Office Support Assistant for HIM provides non-clinical patient support at UCF Student Health Services-Main Campus. Working under the supervision of the Medical Records Specialist in the Health Information Management department, this position is responsible for welcoming visitors, assisting students regarding immunization process, and assisting with general medical record release and international student insurance requirements.

Responsibilities:

  • Welcome visitors to Health Information Management department and provide them with excellent customer service.

  • Interpret SUS Immunization policy to prospective students and answer inquiries regarding requirements and submission process.

  • Assist at incoming student orientation sessions regarding immunization process.

  • Assist students with general medical record release and international student insurance requirements.

  • Process immunization record requests.

  • Receive and interpret patient calls for messages to clinical staff as necessary.

  • Provide guidance and leadership to front desk student workers, assist with training.

  • Monitor Immunizations department email and supervise prompt answering by student employees.

  • Monitor Visit Verification email and respond in timely manner.

  • Monitor and process Florida Shines portal for transient student applications.

  • Upload immunization forms into electronic medical record.

  • Distribute incoming mail and fax.

  • Maintain reception area and all common areas in a clean and tidy manner.

  • Follow FERPA, HIPAA, SHS and UCF policies, including procedures.

  • Timely complete all required university, AHSC, and SHS trainings.

  • Other duties as assigned by the supervisor or designee.
     

Minimum Qualifications:

High School Diploma or equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).   

Preferred Qualifications:

  • Ability to communicate and work alongside clinic staff, students, patients, and visitors in an effective and professional manner.

  • Keen attention to detail, problem-solving skills, and ability to maintain confidentiality.

  • Ability to learn and follow new policies and procedures.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office applications including Microsoft Word, Excel, and Outlook.

  • Electronic Medical Records experience.
