Writing and Rhetoric:
The Department of Writing and Rhetoric (DWR) is one of seven academic units in the College of Arts and Humanities at the University of Central Florida. As an independent writing department, DWR is the academic home to 12 tenure-earning faculty members, 31 full-time non-tenure earning instructors and lecturers, two postdoctoral scholars, and 15 graduate teaching assistants. The department supports a comprehensive, vertical writing instruction that includes a first-year composition program, an undergraduate major (B.A.) and minor, and a graduate program with both an M.A. and certificate in professional writing. The department houses the Center for Writing Excellence that encompasses the University Writing Center and the Writing Across the Curriculum program.
The Opportunity:
The University of Central Florida’s (UCF) Department of Writing and Rhetoric (DWR) is pleased to invite applications for an Administrative Assistant III position. The Administrative Assistant III main responsibilities include tasks related to the department’s programs, specifically the graduate programs (MA and Professional Writing Certificate) and undergraduate programs (BA, minor, and BA certificate) and providing administrative support to the department through the specific duties listed below.
Responsibilities:
Communicates with prospective and current students regarding departmental programs.
Responds to student and faculty inquiries regarding programs, course offerings, and processes for academic processes, including advising, appeals, graduation, etc.
Creates reports and conducts data analysis for student progression/retention.
Provides administrative support to chair, including development and organization of departmental communication, faculty annual reports, and curricular documents.
Maintains detailed and organized records of all department contracts and processes contracts through UCF approval systems.
Manage graduate program files.
Coordinates graduate admissions materials and notifications.
Verifies and communicates policies, procedures, and deadlines to relevant parties.
Provides administrative support to departmental communications, including telephone, email accounts, and front desk along with providing meeting minutes at all critical events.
Plans and organizes departmental events and provides support for necessary ADA compliance.
Develops marketing materials for department courses, programs, and events as needed.
Works in conjunction with College of Arts and Humanities Communication and Marketing department to write news events and spotlights.
Other administrative/communication support as needed or assigned.
Minimum Qualifications:
High School Diploma or Equivalent and 4+ years of relevant experience Or an equivalent combination of education and experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications:
Bachelor’s degree.
Working in a higher education or professional office setting experience.
Proficient with Microsoft Suite.
Proficient in technical programs that will yield visualization of data and ability to produce marketing materials.
Ability to communicate clearly and effectively both verbally and in writing.
Ability to manage routine office tasks in compliance with university policies and state/federal regulations while maintaining confidentiality of all records.
Flexibility while managing a variety of daily and weekly tasks with effective time management.
