Office of the Provost and Academic Affairs:
The Office of the Provost and Academic Affairs provides oversight to UCF's academic enterprise, including the university's 12 colleges and academic administrative units.
The Opportunity:
UCF Office of the Provost seeks candidates for an Administrative Coordinator III to join their team. The Administrative Coordinator III leads administrative and operational support for the Office of the Provost and Academic Affairs. The position provides supplementary support to the Provost and Executive Vice President for Academic Affairs and other senior leadership in Academic Affairs.
Responsibilities:
Supervises and manages the Office of the Provost and Academic Affairs office operations, support student staff and assigns their administrative office functions to ensure efficiency to meet organizational objectives. Interprets and analyzes applicable UCF policies and regulations governing office management and operations. Manages operational activities, including facilities, access control, and property and space management. Assists with tracking and monitoring of fiscal operations, including department budgets and expenses.
Leads administrative support for the department. In collaboration with the Finance Business Center, manages the processing of travel, supply, and equipment orders, purchase orders, procurement card transactions, Cobblestone contracts, and departmental invoices for accuracy and payment.
Supports Academic Affairs leadership as back-up support to the Executive Assistants to senior leadership, including the Provost and Executive Vice President for Academic Affairs, vice and associate provosts, and directors. Provides calendar management and supports meeting coordination and preparedness for Academic Affairs leadership.
Manages the Office of the Provost and Academic Affairs reception, including the hiring and training of student employees. Ensures continued reception coverage and collaborates with other executive offices for coverage.
Serves as the property custodian for the department. Manages and tracks property, ensures appropriate tracking of the lifespan of taggable assets. Collaborates with campus stakeholders to process the acquisition and disposition of assets.
Manages student and general department inquiries to ensure responses are provided in a timely manner and/or are routed to the appropriate individuals, college or department. Follows up with necessary individuals to ensure timely completion of requests.
Supports special projects to support the mission of the department and advance department priorities.

Minimum Qualifications:
Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications:
4+ years' experience in an administrative and/or office operations management role, including support of executives and senior leaders.
Experience working in a higher education administrative office.
Familiarity with UCF policies, processes, and organizational structures.
Experience with Workday or similar ERP systems.
Experience with executive/leadership calendar management.
Excellent time management skills, with the ability to prioritize tasks in a fast-paced environment.
Strong written, oral, and interpersonal communication skills, with the ability to interact with staff and leadership at all levels of an organization.
Proven experience handling confidential information with professionalism and discretion.
