The Opportunity:
The Graduate Admission Coordinator II provides administrative and procedural support for the successful operation of the Burnett School of Biomedical Sciences (BSBS) Graduate Programs (PhD Biomedical Sciences, MD/PhD Biomedical Science Track, MS Biotechnology, MS Biomedical Sciences - Cancer Biology Track, Infectious Disease Track, Neuroscience Track, Metabolic & Cardiovascular Track, Integrated Medical Science Track). Responsible for assisting in graduate student recruiting, admissions processing, registration, coordinating orientation activities, and updating students' records.
Responsibilities:
Provide customer service and manage communications (email, phone, in-person) with prospective and current students, faculty, and staff to support application processing (documents, decisions, letters, etc.).
Assist with scheduling and coordination of thesis/dissertation and capstone defenses, and manage announcements for programs, faculty, and students.
Track capstone progress for the MS Biomedical Sciences non-thesis program and coordinate all aspects of the thesis/dissertation process, including defense scheduling, graduation review appointments, and degree certification.
Advise students on program policies and communications.
Serve as liaison between the College of Medicine and university partners regarding BSBS graduate admissions; participate in work groups, committees, and university activities as needed.
Compile annual program assessment data.
Complete required university and college trainings.
Process and track graduate student milestones, including GTA/rotation, committee assignments, program of study reviews, exams (comprehensive, cumulative, candidacy), teaching requirements, academic integrity, CITI, IRB, research proposals, and annual PhD reviews.
Manage graduate student enrollment, assisting with registration, permissions, schedules, and course IDs for doctoral and dissertation hours.
Maintain graduate student records, including grade reviews, form collection, petitions, and administrative updates.
Collaborate with 101 Biomedical Sciences Graduate Program faculty on catalog and handbook updates, and curriculum revisions in Kuali.
Coordinate applicant data for PhD/MS admissions committees, PhD interview day activities, and new student orientation and training.
Other duties as assigned.
Minimum Qualifications:
Bachelor's or Master's degree and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications:
Experience with graduate student records management systems, such as Slate, PeopleSoft, or Banner.
Knowledge of university graduate program policies and procedures, particularly related to registration, thesis/dissertation coordination, and degree certification.
Proficiency in managing academic data and compiling program assessments, including curriculum updates and catalog revisions.
Demonstrated ability to coordinate graduate admissions processes, including organizing interview days, orientation activities, and liaising with admissions committees.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Special Instructions to the Applicants:
The anticipated salary range for this position is $48,722 - $59,684. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
