The Opportunity:

The University of Central Florida seeks a Graduate Medical Education Coordinator to provide institutional oversight to medical residencies and fellowships located among seven (7) hospital sites around the state of Florida. The GME Coordinator is responsible for assisting in the management of the rapid growth of the Graduate Medical Education program with community partners such as HCA and Veteran's Administration.

Responsibilities:

Onboarding:

  • In partnership with COM-HR, ensure successful onboarding for all incoming physician learners.

  • Assist with I-9 verifications, onboarding documentation, and orientation logistics.

  • Travel to program sites to facilitate in-person onboarding activities as needed

Contracts:

  • Coordinate with HR, HCA, and the GME team to ensure accurate information is included in all contracts for new hires, extensions and renewals.

  • Distribute, track, and manage the collection of fully executed agreements.

  • Partner with UCF Global and COM-HR to manage employment authorization (EAD) processing and I-9 verifications for international physician learners.

  • Serve as the primary liaison for all international medical graduates, fellows, and chiefs regarding visa, work authorization, and ECFMG compliance.

  • Create and maintain ECFMG appointment profiles; oversee J-1 visa sponsorship, renewals, and related documentation.

  • Ensure timely communication and compliance with federal, state, and institutional immigration policies.

Data & Compliance:

  • Collect, validate, and enter data into New Innovations and other institutional databases, including demographics, licensure, test scores, and visa records. Monitor compliance with institutional, ACGME, and federal requirements.

Stipends:

  • Manage quarterly stipend spreadsheets; verify accuracy with program administrators before submitting for payment.

  • Data collection, validation and entry to New Innovations for trainee demographics, test scores, licensure, UCF employee data, visa information and record keeping.

  • Volunteer & Affiliated Faculty / Conflict of Interest.

  • Assist with conflict-of-interest disclosures and volunteer/affiliate faculty processing.

  • Other duties as assigned include but not limited to the timely completion of required university and college trainings and updates.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6)

Preferred Qualifications:

  • Experience or prior involvement in Graduate Medical Education (GME).

  • Demonstrated proficiency with ACGME Institutional, Common, and Specialty-Specific Requirements.

  • Working knowledge of U.S. immigration and visa processes relevant to physician trainees, faculty, and international medical graduates.

  • Demonstrated proficiency in Microsoft Excel and solid working knowledge of Microsoft Office applications, including Word, Teams, and Outlook.

  • Prior experience using WebADS, ERAS, NRMP, and New Innovations software in a medical education or academic setting.

  • Bachelor’s degree or Master’s degree in a relevant field.

The anticipated salary range for this position is $48,722 - $59,684. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.

This is an Auxiliary-funded position. Employment is subject to the availability of funding and may cease at the time funding for this employment is depleted.
