Registrar's Office:

The UCF Registrar’s Office maintains accurate and secure student records. We issue academic transcripts and prepare and publish the UCF Undergraduate Catalog. We help coordinate the Commencement ceremonies and issue diplomas for graduates. We process readmission and residency reclassification requests. We maintain the UCF Academic Calendar, the Final Exam Schedule, and the Schedule of Classes offered each term.

In addition to serving students, the Registrar’s Office provides a number of services and resources to administrators and faculty. We provide student record data to inform decisions. We provide an efficient and secure grade collection process. We provide a number of reports and evaluations related to NCAA Division I athletic eligibility. We also provide student records training for faculty and staff.

The Opportunity:

The Registration Coordinator II serves as a key member of the Registrar’s Office, with primary responsibility for managing administrative record changes, grade change processing, and troubleshooting associated issues. This position ensures accurate and timely handling of all student academic records within assigned functional areas. Additional responsibilities include maintaining military portal data, supporting grading operations through the grading support line, and serving as part of the Commencement Team.

Responsibilities:

Record & Registration Processing

  • Coordinates processing of all administrative adds/drops, late withdrawals, unofficial withdrawals, and grade changes.

  • Manages limited non-degree registration processes, including student course registration and related record changes.

  • Processes audit registration forms and assists with drop-for-non-payment procedures.

  • Reviews student records for accuracy related to academic standing and honors and processes necessary updates.

Grading & Data Management Support

  • Coordinates staffing and scheduling of the grading support line.

  • Assists the Business Data Analyst in training staff involved in grading support.

  • Manages operational processes for record and grade changes, including workflows and automated communications.

  • Serves as first-line technical troubleshooter for record-change and grade-change issues.

Data Processing & Compliance Oversight

  • Oversees the data processing unit, ensuring efficient and accurate administration of university academic policies.

  • Supervises staff responsible for document imaging, indexing, archived record maintenance, and fulfillment of subpoenas, audits, or student record requests.

  • Monitors FLBOE policy changes and error reports; corrects and reconciles discrepancies within the student information system (PeopleSoft).

Technology, Testing & Process Improvement

  • Directs SR (Student Records) patch and upgrade testing related to record changes.

  • Collaborates on identifying, designing, and implementing PeopleSoft workflow enhancements and process improvements.

  • Ensures business process documentation is up-to-date and aligned with current operational practices.

Commencement & Special Projects

  • Serves as an active member of the Commencement Team, providing support for event planning and execution.

  • Participates in special projects and performs additional duties as assigned.

Minimum Qualifications:

Bachelor's and 2+ years of relevant experience or Master's degree and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:

  • Experience in student services operations, such as academic advising, admissions, or registrar’s office functions.

  • Hands-on experience using PeopleSoft Campus Solutions, particularly within the Student Records module, including navigation, data entry, troubleshooting, and workflow-based processes.

  • Demonstrated ability to interpret, apply, and communicate academic policies accurately and consistently across a variety of student record scenarios.

  • Strong data management skills, including experience reviewing, validating, and reconciling data with a high level of accuracy and attention to detail.

  • Excellent communication and interpersonal skills, with the ability to work effectively with a variety of stakeholders and provide high-quality customer service.

  • Experience working in a fast‑paced, deadline‑driven environment, with the ability to manage multiple tasks while maintaining accuracy and professionalism.

Special Instructions to the Applicants:

The anticipated hourly range for this position is $20.29-$21.55. The final hourly rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
